How do I send a practice their numbers?

It is Monday morning and the practice calls with one question: how many office visits did we do this year, and can you send us the numbers? The old way, that is an afternoon in a spreadsheet. Here it is a few clicks.

  1. Start from the right report. Their question is about visits by code, so open Procedure production. See Which report answers which question?.
  2. Cut it to the period they asked about. Click This year, and the report snaps to it.
  3. Narrow to exactly what they asked for. Type the code in the procedure filter and the report becomes one clean line: how many visits, how many dollars, this year.
  4. Export CSV. A spreadsheet downloads with headers and totals included, ready to email.

That is it. The report you just read is now theirs to keep, and every number in it is still traceable to the ledger underneath.

Two habits make this reliable. Always set the date range explicitly, even when the default looks right, because “this year” means something different in January. And send the narrowed report rather than everything, so the practice reads the answer to their question instead of hunting for it.

You can also ask the assistant for the same number in plain English if you just need to answer the phone call.
