How do I take a payment at the front desk?

Not all money comes from insurance. A lot of it is handed to you at the desk, in cash, on a card, or by check.

Before you take a cent, know what they owe. The account’s self pay due tells you, and you can simply ask the assistant, which reads the account and answers in plain words.

Then two steps, and both matter:

  1. Post credit. A credit just means money in. Enter the amount and choose how they paid, then post it. The money is now on the account, recorded and safe.
  2. Apply it. Money on the account is not finished until you apply it to a charge. Click Apply, put the payment on the visit, and the balance drops.

Skipping step two is the most common front desk mistake. The money is not lost, it is just sitting unapplied, and the patient’s balance still reads as owing.

Every step is written into the timeline: the payment, and where you applied it. That is your receipt trail. Months later you can show exactly what happened, who took the money, and which charge it paid.

If the patient pays only part of what they owe, that is fine. The rest stays on their balance, and the remainder is always visible. Nothing is lost.
